Position: Administrative Officer (Full-time)
Duty station: Kampala and Yumbe, Republic of Uganda
Duration: from 15th of September, 2018 to 31st of March 2019 including one month of the probationary period (possible for extension)
Project Title: Education Assistance for South Sudanese in Refugee Settlements, Northern Uganda Salary range (Gross): 1,400,000-1,880,000 (depending on the experience and skill of a candidate)
Manage office supplies stock and place orders, arrange accommodation, travel and postal service, and other administrative office works relevant to our project. The person will be based in Yumbe.
OVERVIEW OF AAR JAPAN
AAR Japan was founded in 1979 with a mission to help refugees from Indochina, and as a civil organization without any political, religious, or ideological affiliations. It has since then grown into an international NGO approved and registered by the United Nations.
AAR Japan has five main pillars of activities;
1) emergency assistance,
2) assistance to persons with disabilities,
3) landmine and unexploded ordnance (UXO) action,
4) action against infectious diseases and
5) public awareness raising about global issues in Japan. Since the beginning, AAR Japan has operated in over 60 countries. Currently, we are active in 15 countries and areas, including 4 African countries namely Kenya, Zambia, Sudan and Uganda.
Scope of work for Administrative and Logistic Officer
The Administrative and Logistic Officer staff shall
a. Manage office supplies stock and place orders
b. Arrange accommodation, travel and postal service
c. Make draft of various contracts either related to project or administration.
d. Keep proper and correct records of all the office consumables and assets with Microsoft Excel.
e. Arrangement and control stock of project materials in warehouse or storeroom
f. Carry administrative duties such as filing, typing, copying, binding, scanning etc
. g. Perform any other duties if requested by supervisors n Personnel specification and selection criteria
a. Bachelor’s degree or higher in relevant field
b. More than 3 years of experience relevant to the scope of work
c. Experience in administrative works
d. Experience in working with aid organizations
a. Ugandan citizen, residing in Uganda and able to station in Yumbe
b. Excellent PC literacy including word processing (MS Word) and spreadsheets (MS Excel)
c. Strong motivation to be part of an aid organization
d. Excellent at working as a part of the team, especially reporting to supervisor in a timely manner. e. Respected punctuality
f. Solid drafting/reporting skills
g. Fluency in speaking and writing English
h. Strong coordination and negotiation skills with stakeholders and problem-solving skills
i. Culturally sensitive and high level of diplomacy and tact
